Terms of Service

By creating an account or using our services, you represent that you are at least 18 years of age and legally capable of entering into binding agreements. If you do not agree to these Terms, you may not use our platform.

mediloop provides administrative and advocacy services to audit, analyze, and negotiate medical bills on your behalf. It is important to understand:

• We do not guarantee any specific bill reduction, but your fee is covered by the money-back guarantee in Section 6
• We are not a law firm and do not provide legal advice
• We are not a debt settlement agency
• Results vary based on individual circumstances, provider policies, and other factors beyond our control

To be eligible for our negotiation services, your medical bills must meet the following criteria:

• Not currently in collections or active litigation
• Less than 24 months old from the date of service
• Itemized with applicable medical codes
• Submitted by the patient or an authorized representative

Our fees cover account access, bill review, and negotiation services. Fees are paid upfront and are covered by the money-back guarantee in Section 6. Current pricing is disclosed at checkout prior to purchase.

All payments are processed securely through third-party payment processors. You are responsible for providing accurate and current payment information.

Subscription plans automatically renew at the end of each billing period unless cancelled. You may cancel your subscription at any time through your account dashboard or by emailing help@mediloop.ai.

Cancellation prevents future charges but does not refund the current billing term, except where the money-back guarantee in Section 6 applies. Your access continues until the end of the current paid period.

Pay Per Bill ($129). If we don't lower the amount on your bill by at least the fee you paid ($129, or less if you used a discount code), we refund the full fee.

Annual Plan ($499). If the bills we handle for you during your plan year aren't lowered by at least $499 combined, we refund the full $499. We check this at the end of your plan year, or earlier if you've used all six bills.

How we measure savings. Savings are the difference between the amount on the bill you sent us and the amount you owe once we're done. Anything your specialist secures counts: corrected or removed charges, discounts, financial assistance or charity care, and insurance corrections.

When refunds are paid. Refunds are issued on the day your case closes, to the original payment method. Your bank may take a few business days to show it.

When the guarantee doesn't apply. The guarantee doesn't apply if:

• you pay the bill yourself, or agree a payment with the provider, while we're working on it
• you don't reply to a request from us for 14 days, including documents or authorizations we need to work on the case
• the bill was in collections or didn't meet the eligibility rules in Section 3 and that wasn't disclosed to us
• you cancel after work on your case has started

Cancelling before work starts. If you cancel before we've started on your case, we refund you in full.

The retired Personalized Action Plan and EOB Review were written products, not negotiation services, so they aren't covered by this guarantee. Nothing in this section limits any rights you have under applicable consumer protection law.

We handle your personal and health-related information in compliance with HIPAA and applicable California medical privacy laws. By using our services, you authorize us to communicate with your healthcare providers on your behalf pursuant to a separate HIPAA authorization form.

For full details on how we collect, use, and protect your information, please refer to our Privacy Policy.

SMS notifications are an opt-in channel. By providing your phone number AND explicitly opting in, either at signup or in your account's Communication Preferences, you consent to receive automated text messages from mediloop. You can use mediloop without text alerts; opting in is optional and reversible at any time.

• Program name: mediloop account & case notifications
• What we send: Account verification codes, time-sensitive case updates (such as a new message from our team), and a one-time confirmation when you opt in or opt out. No marketing.
• Frequency: Varies based on your case activity. Typically a few messages per month per active case.
• When we send: Texts go out within recipient-local quiet-hours-compliant windows (8:00 AM to 9:00 PM) per the federal TCPA safe harbor.
• Cost: Message and data rates may apply. Check with your carrier; mediloop does not charge for the texts themselves.
• Auto-login links: Some texts include a one-time link that signs you into your account so you can read the update without typing a verification code. Links expire within 30 minutes and become unusable after one tap. Do not forward.
• How to opt out: Reply STOP to any text (you'll get one confirmation message and no further texts), or toggle Text message updates off in your account settings. Both methods take effect immediately.
• Phone-number changes: SMS consent is tied to the number you opted in with. Changing your number in your profile pauses text alerts until you confirm the new number, even if you previously opted in.
• Help: Reply HELP to any text or email help@mediloop.ai
• Privacy: Mobile opt-in data and consent are never shared with third parties or affiliates for marketing purposes.
• Carrier disclaimer: Carriers are not liable for delayed or undelivered messages. We make a best effort to deliver time-sensitive notifications but cannot guarantee delivery.

We reserve the right to suspend or terminate your account if you violate these Terms, provide false information, or engage in conduct that we determine to be harmful to our platform or other users.

To the fullest extent permitted by law, mediloop's total liability arising from any claim related to your use of our services shall not exceed the amount paid by you to mediloop in the twelve (12) months preceding the claim.

In no event shall mediloop be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of our services.

You agree to indemnify and hold harmless mediloop, its officers, directors, employees, and agents from any claims, damages, losses, or expenses (including reasonable attorney's fees) arising from your use of our services or your violation of these Terms.
